At your service…
UNC Charlotte Catering Services has an exceptionally experienced staff that is dedicated to your every catering request. We can customize any menu idea to meet your needs and budget. Our full service catering is available with a variety of service styles to include receptions, buffets and served meals. All events are artistically prepared, beautifully presented and served with a gracious attention to detail that has genuinely become a hallmark of our department
Arranging and Reserving a Date
All activities on campus requiring university space and services need to confirm availability through the University’s Conferences, Reservations and Event Services Office (CRES). This office, located in the Cone University Center (CUC), provides a “one stop shop” for your entire event needs. A member of the CRES staff will be your main contact and will guide you through the catering process. Contact the CRES office at (704) 687-2842 for further details.
Please plan food and beverage arrangements at least two weeks prior to the event, as the catering department requires advance notice to arrange for labor and food deliveries. All cancellations must be made 3 business days prior to the event date. If it is necessary to cancel, any expenses incurred (equipment rental, production, and labor) will become the responsibility of the patron. Arrangements can be made through the CRES office unless otherwise directed by the Conference staff.
In some cases, groups may be able to deal directly with the Catering Department. After finalizing the details of the event, those departments will receive an event confirmation sheet. Please review, sign and return confirmation sheet to the Catering Department a minimum of one week in advance for events with less than 100 patrons. For events over 100, the confirmations should be returned two weeks prior to the event date. Even if the date is tentative, please make arrangements as soon as possible (at least two weeks prior) with the Catering Department. Advance notice is crucial to the success of the event so that all labor and food services can be ordered and arranged. Contact the Catering Department at (704) 687-2405 or Fax any questions or changes to (704) 687-6068. Business hours are Monday through Friday, 8:00 am to 5:00 pm.
Guarantees
To ensure proper service, a final guarantee for the number of guests to be served is required 3 business days prior to the event date. Your guarantee number of guests represents the minimum billing. Should the number of guests in attendance exceed the number guaranteed, you will be billed accordingly. We will prepare food and set up for 5% over for groups 50 or more – excluding box lunches.
Billing
For all university departments, a departmental billing number is due upon the finalization of the event. If your event will be paid through personal or private funds, please be prepared to pay the balance 5 business days prior to the event date. Checks can be made payable to Chartwell’s Dining Services. Master Card and Visa accepted.
Delivery Fees
There are no delivery fees for services within the CUC and SAC. Deliveries outside the CUC and SAC will be subject to a $10 delivery fee or 10% of the final bill, whichever is greater, not to exceed $100. For deliveries off campus, catering services will quote customers a delivery charge fee depending on services rendered. Pick-up is available at no additional charge for party trays between 8am-5pm, Mon-Fri. It is your responsibility to ensure facilities and rooms are unlocked for set-up, delivery, and/or clean-up services.
Service & Staff Fees
Continental breakfasts, breaks and receptions are priced for self-service. Buffets are staffed with one attendant for every 25 guests. Served meals are staffed with one server for every 10 guests. Served meals are an additional $1 per person. Events are based on 2-hour service period. Events requiring longer service periods or additional servers will be charged $15 per hour per attendant.
Flowers, Linen, and China
We will be glad to order, receive and set up special floral arrangements or decorative requests for an additional fee. Tablecloths will be provided for all food, beverage and dining tables set up by the Catering Department. Linens and skirts for any other tables are available for an additional charge and requests need to be made in advance. The charges are:

Quality plastic and paper products are supplied for receptions and breaks. China is included at no additional charge for all buffets and served meals inside the CUC and SAC. On campus china service is available for any event outside CUC and SAC for an additional charge. The charges are:

Alcoholic Beverage Service
The University has a strict policy for serving alcohol. Please refer to the UNC Charlotte website http://www.legal.uncc.edu/policies/ps-57.html or contact CRES for additional information concerning alcoholic beverage service.
Bar Set-Ups
A full bar set-up is $2 per person. All necessary bar items, except alcohol, are provided with this charge, including beverages & mixers. Bar set-ups with beverages provided by customers will be $1 per person. Beer and Wine set-ups will be $.50 per person. We will be glad to provide your bar set-up with glassware for an additional $1 per person. All bar set-ups include ice and cocktail napkins. Bartender fees are $15 per hour plus set-up fee for 1 hour before and 1 hour after the event (4 hour minimum). These prices are for quality plastic cups.
